How to add or edit contact
You have multiple ways to add a new contact to the contacts list:
- from the Contacts screen, click the New Contact
button on the Contacts ribbon menu
- from the Calls screen, select a call and click the Add to Contacts
button on the Calls ribbon menu or right-click on the call and select Add to Contacts
from the Calls context menu.
You have multiple ways to edit contact:
- from the Contacts screen, click on the contact you want to edit and then click the Edit
button on the Contacts ribbon menu
- from the Contacts screen, right-click on the contact you want to edit and select Edit
from the Contacts context menu
- from the Calls screen, select a call from the contact you want to edit and click the Open Contact
button on the Calls ribbon menu
- from the Calls screen, right-click on any call from the contact you want to edit and select Open Contact
from the Calls context menu
Edit contact
Clicking the Add Contact or Edit Contact
buttons brings up the Edit Contact form:
Contact name
Enter full name of the contact:
If you added the contact from the Calls screen, first and last name might be in the wrong order. Click on the Swap button to quickly swap first and last names of the contact.
Contact groups
Contacts are organized into contact groups. PhoneTray has a number of predefined groups such as Family, Friends, Work, Businesses and you can create any number of your own custom groups. To change a contact group, select another group from the Contact Group dropdown list:
You can simply enter any group name into the Contact Group box to create a new contact group.
Tip:
To delete a contact group, simply change the contact group for all contacts in that group. The contact group will disappear automatically if there are no contacts in that group.
Company field
If you know the contact's company or place of work, enter it into the Company field:
Tip:
You can leave the Full Name field empty if you enter the company name into the Company field.
Display As field
The Display As field is used when showing calls from that contact, it can be different from Full Name:
For example, if full name is James Baley but Display As field is Jimmy, PhoneTray will show the caller's name as Jimmy for all calls from that contact.
File As field
The File As field is used when showing contacts on the Contacts screen and everywhere where you can select one of your contacts, for example, when editing a call.
The Contacts list is sorted by the File As field by default.
Announce As field
The Announce As field is used when PhoneTray announces incoming calls using text-to-speech:
You can click the Play button to hear the announcement. To adjust other announcement's settings like the announcement's volume, the speech speed, the number of times an announcement is repeated on incoming call, please refer to the Speech Settings article.
Tip:
If you want to disable announcement for the contact, leave the Announce As field empty.
Ringtone
Select the Default ringtone option to use default ringtone for your contacts selected on the Settings - Ringtones screen. You can disable ringing for calls from this contact by selecting the Disabled option. To select a custom ringtone for this contact, select the Custom option then select an audio file using the ringtone selection box:
Click the button to open the folder with the ringtone messages that are included with PhoneTray. You can also double-click on the message selection box to select an audio file. Click the Clear
button to clear selection. Click the Play
button to play the selected ringtone.
Allow calls from this contact during quiet time
Check this box to allow important contacts to ring through during quiet time intervals selected on the Privacy - Quiet Time screen:
Phone numbers
Click the Phone Numbers tab to show / edit contact phone numbers:
Select predefined phone number category like Home, Work, Mobile or Fax using the dropdown box. You can add custom category by typing the category name into the phone number category box, for example, Fax - Work as shown on the screenshot:
Email and Internet
Click the Email and Internet tab to show / edit contact's emails, website and Skype name:
Click the Send Email button next to the email field to send an email to the email address displayed in the email field. Click the Visit Website
button next to the website field to go to the website displayed in the website field. Click the Call on Skype
button to call your contact on Skype.
Address
Click the Address tab to edit contact's addresses:
You can add up to 2 addresses for each contact. There are 2 predefined categories for addresses - Home and Work. As with phone numbers, you can add custom address category by typing the new category name into the address category field, for example Work - Main Office or Cottage.
Notes
Click the Notes tab to add or edit Notes for your contact:
Birthday
Click the Birthday tab to keep track of the contact's birthday:
Don't forget to click the OK button when you finish adding or editing the contact.
